Project Administrative Assistant

A A R Electronics, Inc. is a communications and electronics systems distributor, providing solutions for businesses throughout Louisiana. We are a growing, locally owned, and operated company located in Houma Louisiana. 

We are seeking an Administrative Assistant for our construction department This candidate is responsible for assisting the estimator and project manager in preparing bid, administering contract documents, ordering material, and coordinating production activities.

Qualifications:
  • Associate’s degree in office systems, Accounting or relative experience
  • Technical Aptitude
  • Must be organized and meticulous
  • Strong problem-solving skills
  • Able to multitask
  • Proficient in Microsoft Office suite

Responsibilities:
  • Assisting with producing proposals, contracts and agreements
  • Updating and maintaining records in management and customer’s database
  • Assisting with producing proposals, contracts and agreements
  • Coordinate with purchasing and receiving departments
  • Generating Work Orders
  • Dispatching Technicians
  • Preparing project invoices
  • Receiving payments
  • Collecting on past due accounts
  • Produce financial reports as needed
  • Answer Phones
  • General Clerical Duties: copies, faxes, typing, etc. 
  • Back up to Service and Bookkeeping department as needed
